Worlds 2014 Bid Procedure

Members of Council, I am pleased to forward the attached letter from representatives of Chulalongkorn University in Bangkok, Thailand in which they announce their intention to bid for the 2014 World Championship. With Chulalongkorn's commitment to bidding, we'll now face the difficult decision of choosing between two outstanding prospective hosts for the 2014 World Championships. That decision will be guided by the process approved at pre-Council in Manila. I've updated the steps in that process to reflect a bid submission date of 20 May; both bidders have committed to making the final draft of their proposals available for circulation on that date. The procedure for selecting the host for the 2014 Championship will be as follows: a. By 20 May 2012, bidding institutions will submit a bid document to the Executive who will distribute the document to the National and Regional Representatives. The Executive will also make the bid documents available publicly on appropriate websites. b. From 20 May until 3 June, 2012, the respective bidders will monitor and respond to questions about their proposals on the Worlds Forum (http://wudc.freeforums.org). Regional and National representatives, as well as any other interested parties, are encouraged participate in the discussion. c. From 4 June until 7 June, 2012, the Registrar will conduct a vote to determine the winning bid. Per Article 15, each National Representative will be allowed cast a ballot. To be valid, votes must be emailed to worlds2014bid@gmail.com and must include the representative’s full name and national affiliation. d. By 10 June, 2012, the Executive will tally the votes and announce the results via email to the prospective hosts and the Regional and National Representatives. In the coming days, I'll circulate and publish a list of the national representatives to allow us to confirm representation.
